Blueleaf Billing: Billing Roles Overview
A role controls what a user can change in the five areas of Blueleaf Billing: Billing Readiness, Billing Run, Clients & Accounts, Fee Schedules, and Firm Settings.
What each built-in role can edit:
Admin: Edits all five, including Firm Settings and the roles themselves.
Billing Manager: Edits Billing Readiness, Billing Run, Clients & Accounts, and Fee Schedules. Firm Settings stays read-only.
Viewer: Edits nothing, and sees every page.
Creating a Custom Role:
Build a custom role when the built-in roles of Admin, Billing Manager, and Viewer do not match what someone in your firm should be able to change. An area left off restricts editing, not viewing. A role with every toggle off can open every page and read what is there. However, they cannot change anything.
1) Go to Firm Settings > User Permissions tab. On the Roles card, click Add Role.
2) Enter a Role Name, and enter a Description, so the next person knows what the role is for
3) Under Page Permissions, turn on each area this role may edit:
- Billing Readiness: Resolve flags.
- Billing Run: Approve, re-run, and export billing runs.
- Clients & Accounts: Edit client and account configuration.
- Fee Schedules: Create, edit, and delete fee schedules. Subscription fees and one-time fees are created and enabled under this area too.
- Firm Settings: Change firm-level billing settings. This also covers roles themselves, so anyone with this area enabled can create and edit roles.
4) Click Create Role.
To adjust a role later, click the pencil icon beside it. Custom roles also carry a trash bin icon to delete. Built-in roles (Admin, Billing Manager, and Viewer) cannot be deleted.
Assigning Billing Roles:
If you need to give an additional user access to billing then you can do that from the Firm Settings page on the User Permissions tab. The User list holds people who already have a Blueleaf login and no billing role yet. If the person you want is missing, add them in Blueleaf first: Managing an Office or a Large Firm by Creating Users
- Open Firm Settings and click User Permissions.
- In the User Assignments section, click Add User.
- Pick the person under User, choose a Role, and click Add User.
To change a role later, pick a different one from the dropdown on that person’s row. It saves as soon as you choose. The trash bin icon beside it removes their access to billing.
